Caesars Entertainment is seeking a Flight Scheduler to join our Aviation team in Las Vegas, NV. The primary responsibilities of the Flight Scheduler include efficiently scheduling, revising, and canceling flights in a cost effective and professional manner. The role also involves providing administrative support to the flight department, which includes preparing technical, statistical and narrative reports, as well as handling various written materials and correspondence.

KEY JOB FUNCTIONS:

  • Schedule, revise and cancellation of company owned aircraft in addition to supplemental lift to include charter and fractional aircraft in an efficient, cost effective and professional manner. 
  • Coordinate aircraft and crew availability.
  • Secure commercial air, rental car and hotel reservations for flight crew in a cost-effective manner.
  • Responsible for airport reservations and customs requirements.
  • Ordering of catering for flights as needed.
  • Negotiate fuel discounts.
  • Prepare correspondence and other written materials as needed.
  • Collect and produce monthly reports.
  • Assist as needed with Department invoicing and approval functions utilizing the ARIBA/Oracle systems. 
  • Assist with as needed with department P-card system to include the re-classing of aircraft and manager P-cards; perform random statement audits, and the archiving of P-card packets.
  • Assist with as needed with department shipping, receiving and distribution functions to include incoming and outgoing US Mail, Inter-Office Mail, Fed-Ex and other shipments. 
  • Assist with as needed the monitoring, maintaining, and organizing the office facilities; ensure the functionality of office equipment. This includes the ordering and restocking of stationary supplies and other consumables within the office, kitchen, restroom, and lounge areas. 
  • Assist with as needed filing and archiving of department records.
  • Data entry of flight logs, fuel charges, and other information into Flight Management Software.
  • Attend meetings; Transcribe and/or record Minutes of selected meetings as needed. 
  • Assist and perform other duties, and special projects as assigned.

EDUCATION and/or EXPERIENCE: 

Experience in corporate aviation and the knowledge of flight operations, scheduling techniques and record keeping. 

QUALIFICATIONS:

  • Ability to evaluate, analyze and adapt to changes quickly. 
  • Ability to work with people at all levels in the organization and with external suppliers
  • Ability to handle fast-paced and high-pressure activities
  • Demonstrate a high level of customer service internally and externally; 
  • Knowledge and understanding of scheduling software; 
  • Strong telephone skills with the ability to handle customer needs
  • Ability to work independently; 
  • Must be able to work flexible hours and available to work various shifts.
  • Ability to think independently in making decisions
  • Ability to effectively manage time and perform multiple tasks simultaneously. 
  • Excellent interpersonal, team building and problem solving skills required. 
  • Must present a well-groomed professional appearance.   
  • High School diploma or equivalent required.
  • Ability to manage numerous projects simultaneously at various stages of development.
  • Ability to clearly communicate complex ideas to co-workers and clients.
  • Excellent written and verbal communication skills, able to comfortably communicate at all levels of the organization.
  • Must be able to clear Transportation Security Administration (TSA) background check and complete Airport Security Program (ASP) course to obtain McCarran Badge.

Ability to handle fast-paced and high-pressure activities; ability to evaluate analyze and adapt to changes quickly while demonstrating a high level of customer service internally and externally.
