Position Summary

The primary duty of the Flight Support Coordinator is to prepare trip itineraries for flight crews, while coordinating all the necessary logistics that are associated with a trip. The coordinator must have a strong knowledge of aircraft scheduling perimeters, including (but not limited to) aircraft limitations, time zone changes, crew duty and rest limitations, overflight and landing permit requirements, airport curfews, over-flight exemptions, US Customs requirements such as general declarations, APIS submissions and so on.? 

Flight Support Coordinators are responsible for Flight Following deviation documentation and ensuring timely and accurate schedule communication to crew members and maintenance controllers. As well as providing internal clients with the highest level of customer service. 

Duties and Responsibilities

  • Monitors the status of all planned flights and flights in progress from the point of origin to the final destination (flight following)? 
  • Coordinates the response to daily issues via IROP (AOGs, delays, Wx) 
  • Ensures all ground handling, deicing, fuel, landing/departure slots and landing/overfly permits are in order before releasing a flight.? 
  • Ensures all domestic and international trips are safely flight planned and released according to Federal Aviation Regulations pertinent to both Part 91 and Part 135 operations. 
  • Identifies, anticipates and takes corrective action to minimize actual/potential delays due to scheduling operations, crew legality and maintenance issues.? 
  • Advises appropriate personnel of potential/actual delays and conditions affecting safety of flight.? 
  • Works with Client Services, and other commercial teams to coordinate service recoveries 
  • Coordinates with Client Services to ensure crew airlines, ground transportation and hotel accommodations are confirmed.  
  • Collaborates with Charter Sales Executives, Crew Scheduling Coordinators, and Maintenance Controllers to ensure trip requests are operationally feasible.  
  • Other duties as assigned by Management or Senior Leadership

Physical Requirements

The physical demands described here are representative of those that must be met by an employee to successfully perform required duties. While performing the duties of this job, the employee is regularly required to sit; use hands to finger and required to reach with hands and arms. There is no significant standing, walking, climbing, kneeling, reaching, handling, pushing, and pulling. The person in this position needs to be able to move about inside the office to access file cabinets, office machinery, etc. There is a constant operation of a telephone and computer. The employee may be lifting to 35 lbs. Specific vision abilities required by this job include close vision and ability to adjust and focus. 


Work Environment

  • The work environment characteristics described here are representative of those an employee encounters while in an office environment. The work is typically done while sitting at a desk or table. 
  • The noise level in the work environment is usually moderate. 


Experience & Qualifications

  • The most successful candidate in the position will meet most, if not all, of the following criteria. 
  • Bachelor’s degree in aviation management, aeronautics, or similar preferred 
  • Minimum 2 years of experience in Part 135 operations.
  • Dispatch Certificate a plus. 
  • Knowledge of Business Aviation Operating System (e.g. FL3XX, JetInsight, FOS). 
  • Understanding of Flight and Fuel planning software preferred (e.g. ForeFlight, FuelerLinx).  
  • Knowledge of weather theory charts, and reports in the Meteorological Aerodrome Report (METAR) format including Terminal Area Forecast (TAF's) and Notice to Airmen (NOTAMs)  
  • Customer service experience- Able to communicate with people sensitively, tactfully, diplomatically and professionally at all times.? 
  • Must have ability to work flexible schedule. This includes evenings, weekends and holidays.? 
  • Work in a fast-paced 24/7 environment of business aviation, requiring non-standard work hours and on call response.? 
  • Strong organizational skills- detail oriented, ability to prioritize and be proactive. Ability to work under pressure with minimal supervision. Flexible, able to deal with change.? 
  • Strong attention to detail. Intermediate level proficiency of Microsoft Excel, Word, Power Point, and Company E-mail.? 
  • Must demonstrate phone etiquette and customer service skills.? 
  • Must be able to follow policies and procedures of department willingly and effectively 
  • Highly organized results-oriented individual with excellent communication skills and business acumen.
